Terms of Service

Last updated: 12 October 2026

These terms apply to your use of ClinicShield, a trading name of Ashleigh Newman-Jones, a sole trader based in England ("we", "us"). By creating an account you agree to them on behalf of yourself and the organisation you represent.

1. What ClinicShield is — and isn't

ClinicShield is a guidance and preparation tool that helps organisations get ready for the NHS Data Security and Protection Toolkit (DSPT).

  • ClinicShield does not constitute professional, legal or compliance advice.
  • ClinicShield does not submit to the official DSPT on your behalf. You must complete and publish your own submission at dsptoolkit.nhs.uk.
  • ClinicShield does not guarantee any DSPT outcome, including "Standards Met".
  • Your organisation remains solely responsible for its DSPT submission and for its compliance with data protection law.
  • ClinicShield is not affiliated with, endorsed by or approved by NHS England or any NHS body.
  • Our guidance is general. For complex situations, seek professional advice.

2. Your account

You must give accurate information and keep your sign-in details secure. Practice managers and admins control who can access their organisation's data, and are responsible for removing people who should no longer have access.

3. Acceptable use

Don't upload identifiable patient data, unlawful content or malware. Don't try to access other organisations' data or disrupt the service.

4. Plans and payment

  • The Free plan is free. Essential and Professional are annual subscriptions, billed in advance through Stripe, and renew automatically each year unless cancelled.
  • You can cancel at any time from the billing page; you keep access until the end of the paid year.
  • Refunds: if you ask within 14 days of your first purchase, we'll refund you in full. Renewals aren't refunded, so cancel before your renewal date if you don't want to continue.
  • Prices are shown on our website. We are not registered for VAT, so no VAT is charged.
  • We may change prices for future renewal periods with at least 30 days' notice.

5. Templates and content

Policy templates and guidance are provided as a starting point. You must review and adapt them before adopting them. You may use and modify templates for your own organisation's internal purposes; you may not resell them.

6. Your data

You own your organisation's content. You give us permission to host and process it to provide the service. Our Privacy Policy explains how we handle personal data. Where your content includes personal data (for example staff names in a policy), we process it on your behalf, only to provide ClinicShield, and keep it confidential and secure.

7. Availability

We aim to keep ClinicShield available but don't guarantee it will be uninterrupted or error-free, especially close to the DSPT deadline. Keep your own copies of important documents.

8. Liability

Nothing in these terms limits liability that cannot be limited by law. Otherwise, we are not liable for any failure to achieve a DSPT outcome, regulatory action, or indirect or consequential loss, and our total liability in any 12-month period is limited to the amount you paid us in that period.

9. Ending your account

You can close your account at any time. We may suspend or close accounts that breach these terms.

10. General

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. Contact: hello@clinicshield.co.uk.
